Lily, your office assistant
Lily is your personal and office assistant. She answers your line when you can't, sorts your inbox, drafts your replies and fills in the forms you do over and over, so you can get back to the job.
What she does today
What Lily handles for you
- Answers your own line. When you can't pick up, Lily answers as your assistant. She tells you who called, what they wanted and what to do next, and logs it under the right client or job. If it's a new lead, she takes their details for you to call back, or passes them to Teddi if you have him. We set this up with you.
- Your inbox, sorted. Connect your business email once and Lily reads it every few minutes, up to two inboxes. She reads first and hands each email to the right assistant. Every email is sorted by who it's from (client, lead, supplier, sub-trade, partner, your team, personal or family) and matched to the right client or job, with a short summary and the next step, in Needs you, FYI and Done. Spam and newsletters stay out of your way.
- Draft replies. A draft reply for each email that needs one. You check it and send it from your own email.
- Personal stays private. Personal and family emails stay between you and Lily.
- Hand-offs. Lily only hands off to the assistants you have. New leads go into Teddi's pipeline, schedule items to Sofie, and invoices and receipts to Penny's "From Lily" list. On her own, she keeps them for you: a new lead becomes a callback note, and schedule and money items become your to-dos. She never acts as a salesperson.
- My day. A daily summary and urgent notices for you only, in the app, and by text or email if you turn that on.
- Your documents. Upload a form you fill in again and again: change orders, work orders, permit and inspection requests, safety forms or letters. Lily learns it, you train her with your own rules, and she fills in new ones from a sentence for you to check, print or copy. Each saved copy teaches her.
